Map your current calls

  1. List the numbers guests use for catering and which locations they reach.
  2. Write down who answers during business hours and what happens when the line is busy or unanswered.
  3. Decide how after-hours inquiries should be handled and who follows up the next business day.

Agree on routing

  1. Review your existing phone provider and routing requirements with the CaterVox team before changing settings.
  2. Identify requests that need a person, such as an exception to policy, an urgent order change, or a question the menu does not answer.
  3. Name a primary contact and a backup, and agree on what happens if neither is available.

Verify the handoff

  1. Test a routine catering inquiry, a missed call, and an after-hours inquiry.
  2. Check that the right location and event details reach the responsible person.
  3. Keep a record of the approved routing and your existing provider settings so changes can be reviewed.
