- List the numbers guests use for catering and which locations they reach.
- Write down who answers during business hours and what happens when the line is busy or unanswered.
- Decide how after-hours inquiries should be handled and who follows up the next business day.
Agree on routing
- Review your existing phone provider and routing requirements with the CaterVox team before changing settings.
- Identify requests that need a person, such as an exception to policy, an urgent order change, or a question the menu does not answer.
- Name a primary contact and a backup, and agree on what happens if neither is available.
Verify the handoff
- Test a routine catering inquiry, a missed call, and an after-hours inquiry.
- Check that the right location and event details reach the responsible person.
- Keep a record of the approved routing and your existing provider settings so changes can be reviewed.
